Documentation & Handover
SIRA Bollards (UAE) — What you receive at project close-out: a complete, auditable handover pack that covers design intent, installation, testing & commissioning, training, and aftercare. Where the project is within SIRA scope, we align documents and maintenance with the approved plan and your project-specific MS/RA and permits.
Important: This page is a generic guide. For live projects we issue a tailored Method Statement & Risk Assessment (MS/RA), align with SIRA (if in scope), and follow authority/landlord permits before works start.
What You Receive at Handover
- 1) Design & Approvals Record
Approved MS/RA and inductions (as applicable), authority/landlord permits, Functional Design Specification (FDS) with operation logic (UP/DOWN/STOP-REVERSE/EFO), safety loops, lockdown behaviour, interfaces & I/O schedules; approved schematics and cable schedules that match the FDS. - 2) Quality & Installation Records
Inspection & Test Plan (ITP) / Site Acceptance Procedures (SAP) with defined Hold and Witness Points; daily/weekly QA logs; WIRs/MIRs (as applicable); foundation concrete records; off-loading/visual inspection reports. - 3) Test & Commissioning Dossier
On-site SAT/commissioning checklists and results: raise/lower/stop-reverse/EFO, loop safety (no rise under obstruction), handpump operation, anti-burst function, central lockdown behaviour; completion forms and signed test certificates. - 4) As-Built Package
Red-lined/as-built drawings (civil foundations, ducts, HPU cabinets, cable IDs, terminations, final zoning), data sheets and schedules reflecting the installed equipment. - 5) O&M Manuals & Training
Operation guide (daily use, EFO/lockdown), preventative maintenance schedule, troubleshooting, spare parts list; end-user training with attendance sheet; manufacturer literature for bollards/HPUs. - 6) Compliance & SIRA (if in scope)
Confirmation that integrated systems (e.g., VSS/CCTV, access control) meet baseline specifications; annual maintenance contract details with a registered provider; change-control log template.
How Handover Works (Process)
- Pre-handover review: verify all ITP/SAP points are closed, hold/witness points signed, and the installation matches the FDS/schematics.
- Client demonstration: show normal operation, safety loop behaviour, local/central controls, EFO/lockdown, manual handpump, and any integrations listed in the FDS.
- Training & documents: deliver O&M, as-builts, test certificates, warranty letters as one digital pack (hard copy on request).
- Acceptance & close-out: sign SAT/commissioning forms and the Handover Certificate; warranty runs from TOC unless your contract states otherwise.
Aftercare & Maintenance
- Preventative maintenance: as per O&M (seal inspection/lubrication, hydraulic checks, PLC/logic backups, lamp/loop verification and all control devices).
- Corrective maintenance: call-out and response times per your SLA.
- SIRA compliance (if in scope): keep an active annual maintenance contract and log/notify any changes that could impact system performance.
What We Need from You Before Handover
- Final list of authorised operators and escalation contacts.
- Power and comms availability confirmed to all control points/HPUs.
- Agreement on spares/consumables to hold on site (seals, lamps, fuses, etc.).
- If SIRA is in scope, the nominated SIRA-registered maintainer and contract details.
Notes & Scope Boundaries
- This page describes a generic handover; the exact dossier is tailored to your project’s FDS/ITP/SAP and authority/landlord approvals.
- Where CCTV/access control is included, documents align with SIRA technical specs and record-keeping requirements.
